We have the responsibilities to:

• review the client’s documents and requirements
• Prepare a price quote
• Prepare a plan
• Proceed with the translation
• Deliver the translation of required quality

To facilitate this process, please provide us with following information:

• Documents (full or partial) and specific requirements
• List of common terms (pre-existing, if any)
• Target audience’s country

Workflow for Technical & Engineering Field:

• Prepare a translation plan

Vietrans will provide the client with a suitable translation plan after carefully reviewing client’s documents and specific requirements.

• Develop and prepare a terminology list

For each project, if the client has no specific requirements regarding his or her own style guide or pre-existing terminology, Vietrans will set up a common terminology list to ensure the consistency throughout the documents. This terminology list will be further enhanced along with the project and become a proprietary “asset” of the client for his or her next projects.

Note: We shall apply a charge if the client requests for such a terminology list.

• Prepare a uniform formating style guide

Vietrans will reach an agreement with the client about text formating and style guide before proceeding with the translation. These are rules about general presentation of the document such as font, font size, heading, numbering, layout, etc. to enable faster and easier combination and correction of the document.

Note: We shall apply a charge if the client requests for such a style guide.

• Translate and review the translation

Our translators perform the tasks following the agreed plan and formating styles under professional experts’ advice (if needed).

Translated documents are then edited for many times by cross-checking among individual translators, joined, and finally edited by team leader, then it will be reviewed by a professional expert and proofreaded by a native reader (if required).

Note:

Vietrans applies a charge for native proofreading task depending on the language and complexity of the document.

Format and presentation:

If the client provides no special requirement on text format or presentation, Vietrans will maintain or present as closely as possible to the original format.

We are capable of handling most of text formats and retaining original data, figures, formulas, etc.

Price quote and discount:

Depending on the specialty of documents, complexity of format, urgency, and client’s special requirements, our quote may be varied within this price range

Discount is available for large projects and familiar customers. For details, please refer to this Discount Policy.

Delivery time:

Our team is willing to work overtime (OT) to handle large-scale, urgent projects.

Depending on the level of urgency, however, Vietrans reserves the right to charge an additional fee of 10-30%.

And we are always punctual.

Test translation:

Vietrans offers free test translation upon the request by translating any paragraph in the client’s document (less than 150 words).

If so required by the client and word volume is more than the specified limit (150 words), we reserve the right to charge a test translation fee at normal rate.

All test translation of texts shall be strictly confidential.

Software-based translation:

Software-based translation helps to ensure the consistency of terminology and retain original format of original texts, create and establish a database of specialized terms, save time and budget for the client.

Vietrans is capable of provide Trados-based translation upon the request.

Proofreading existing translation

For Technical & Engineering field, we only offer proofreading service by experts in the field and accept the job after reviewing the client’s translation.

Please note that:

• Vietrans only accepts to proofread a translation of which errors, including spelling, mistranslation, and formatting errors, account for no more than 30% of word volume.
• Proofreading fee is 30% higher than normal translation rate.

Proofreading by native readers:

We offer proofreading and review services by native readers, the rate of which depends on the specific field and expert’s qualifications. Please contact us for details.

Keypoint translation:

We offer summarization, brief translation, and keypoint translation services.

Our quote may be varied depending on the length, specialty level, and style of documents as well as client’s specific requirements.

Information confidentiality:

Not withstanding the volume, client’s documents are always strictly confidential. Confidentiality clause is strictly prescribed in the contract or non-disclosure agreement (NDA) between related parties.

Support with editing content:

We offer free update of document information (less than 100 words) for the first time

We reserve the right to charge a fee on document updates for subsequent times or update of more than 100 words for the first time. This editing fee will be charged normally.
